Business Meeting Minutes
August 16, 2017

Called to order by President Tara Boling at 6:30 pm.

Those present: Bob Anderson, Christine Martinez, Tammy Visconi, John Bethard, Anne Hoeper, Mike Hoeper, Robin Johnson, Dave Johnson, Dee Robbins, Mike Koester, Melissa Aikman, Justin Forgie, Jennie Fink, Willy Fink, Marilyn Pulford, Marc Nesseler, Kathleen Nesseler, Deb Brown, Jerry Brown, Brian Wilson, Mickie Masterson, Steve Murrens, Tara Boling, Cheryl Boling, Lisa Crandall, Denny Reichenbacher, Anke Maass, Maria Steinbrecher, Karla Buckrop, Merrilee Buckrop.

Marc Nessler reported that there was 10 people at the HDD Committee Meeting.  We still need a Volunteer chairperson and auction chairperson.  Since there is no Volunteer chairperson committee will call upon the volunteers who signed up last year to see if they want to do the same thing for HDD 2018.  The charity can fill in missing spots and we can ask for volunteers for those spots at socials.

Plan B with no auction chairperson to reduce baskets from 240 to 75-100 and hold a reverse raffle/auction. Ticket winners can be posted with the finals announced.  Increase sand buckets from 50 to 100.

Enterprise will no longer be a sponsor.  There are 1/3 of reserved tables sold already.  Next meeting is at Cabanas Sept. 14th at 6:00 pm.  Pub Crawl will be back.

Owner of River Bandits ballpark talked to Tara, Jerry and Brian about having HDD 2019 there.  He stated rent would be free and we think this should be pursued more to verify it is free and what dates are available.  Will the band be able to play until midnight since it will be outside, is there city ordinance?

Willy explained the reverse raffle as we saw it at an event in Key West (Meet Me In The Keys).  Others agree that our clientele may not buy all 100 $100 tickets but we should lower the cost to $50 and sell 200 tickets.  Christine Martinez motioned to start the sales of 200 tickets at $50 now and Bob Anderson seconded that.  Brian opposed because he is concerned with the effects this will have on the 50/50.  HDD committee’s plan is to get them sold well in advance of the event so people will still purchase 50/50 tickets also.  Marc said he can get tickets to start selling them Sept. 1st.  It was verified that a link can be on FB to our website for people to purchase the tickets.

Acceptance of Consent Agenda motioned by Brian Wilson and seconded by Marilyn Pulford and Jerry Brown.

Payments for Approval: Cost of hotel for Thom Shepard and Coley McCabe, they brought their dog and the hotel we got free room from was not a pet friendly hotel. Approved by Christine Martinez and seconded by Bob Anderson.

Justin Forgie indicated that the Domain site payment is needed, which is for QCPH.com.  It is either $175 per year or 5 years for $300 or 10 years for $500.  It is due September 25th.  With discussion over doing something else, PHiP requires us to have a website Karla Buckrop motioned to spend the $500 for 10 years and Dave Johnson seconded that.

Wild Apricot renewal is also due, September 27th.  It is $100 a month for a year or to lower our storage space it would go to $70 a month.  If we move back up to more storage the cost will be higher than $100 a month.  It was suggested to look into cheaper software but Dee Robbins would like to renew for a year and research all the features that we are not using to see what will benefit our club.  It was discussed that Yahoo Groups may not be needed anymore because we can do mass emails thru the website.  Some members thought it was hard to get signed up for yahoo group emails.  John Bethard motioned to renew for a year and then re-evaluate before the end of the year, Mike Hoeper seconded the motion.

Closet to Closet – a couple local high schoolers started this organization to help provide clothes to foster kids.  They are asking for volunteers to help them tag items, about 4 hours on a weekend or in an evening.  It was suggested club reach out to our members to see if anyone wants to volunteer and then we can provide them the information for Closet to Closet and work with them directly.

Tara requested the email addresses be removed from the website and we just display the general email address for inquiries.  Marilyn seconded this.

Melissa Aikman expressed interest in becoming the club’s Membership Director since Tara Boling is now the President.  So she will take over and if anyone wants to run next year when Membership Director’s term is up.

Tara will be doing inventory at the clubhouse to see what we actually have in stock.  Willy gave Tara keys to the clubhouse and shared that Mike Malmstead and Todd Haugen also have keys.  Mike and Todd help with stage prep stuff so they need access to the clubhouse.

Membership Drive brought in 2 new members, 2 renewals and alot of people talked to in regards to the club and what we do.  Several membership applications handed out and our website shared for people to join our club.  Board members from the Yacht Club like this annual event and would like to do this type of event 2 times a year if possible.

Aug. social – Cabanas, Sept social Bier Stube in LeClaire, Oct social – Caddies and maybe Nov. social at Ricco’s Tropical Cantina.

Charity for trivia night will be the Handicapped Development Center.   We need 16 tables of 8 to get a free bartender otherwise there is a fee per hour we will have to pay for the bartender.  Mike will get flyers to pass out at the next social.

Jan asked Cheryl to request a donation of $2000 to the ARC for donating the projector for all our Trivia nights.  The ARC was in the running for HDD 2018 but Jan shared that they are going to get a large grant so they were removed from the applicants. Hand in Hand was chosen for HDD 2018 and we later found out that they also got the same grant that ARC got.

We are a social club that does a lot of good things for the community.  Send photos of events and outings you do with other members to Dee.  She will then post them and this way when you email them to her she knows she has permission to post them.  Dee will look into others being able to post things on our FB page, you have to be a FB page admin to post items.

Denny Reichenbacher motioned to adjourn at 8:08 pm and Bob Anderson seconded the motion.
